1. Booking

a. These conditions apply to all bookings accepted by Diamond Circle Events (the company) unless otherwise agreed in writing. Your booking is not confirmed unless accepted in writing by the company and is also dependent on suite availability.

b. The company gives no warranty about the event to which the hospitality is sold as to its quality, suitability or otherwise.

c. A contract will be deemed to have been made between the company and the client when the client has confirmed requirements by letter, facsimile or email and the company has accepted such a booking.

2. Event Specification
The company will supply the hospitality package or event management services detailed in the event specification (see 'upcoming events'). The event specification may be varied with the company's written agreement.

3. Pricing and Payment Schedule

a. A 50% deposit will be paid to secure the number of places required at the time of booking. This must be received within seven working days from the date of the booking. The company reserves the right to cancel the booking and the space or spaces resold if this payment is not received within this timeframe. The outstanding balance must be paid no later than two calendar months before the event. If the booking is made within two calandar months of the start of the event then the total amount must be paid. For bookings made within seven days of the event full payment must be made and cleared funds with Diamond Circle Events.  

b. Diamond Circle Events accept Cash, Cheque, Electronic Transfer and Credit/Debit Cards (please contact us for card acceptance). All card payments will attract a 3.5% charge.

4.Ticket Issuing

a. Tickets will be sent to you by special delivery, we suggest that if they are to be forwarded to a third party that you send them under the same method. Diamond Circle Events accept no liablity and is unable to assist where tickets are lost or stolen after they have been dispatched from our office and will not accept responsibility for their replacement.

b. Tickets and other admission documents will under no circumstances be issued prior to cleared funds received by Diamond Circle Events

c. Any extras requested at the event by your event representative (subject to availability) will be charged at cost plus 15% and will be payable immediately.

d. If a catering order (where required) is not submitted within 7 days of the start of the event, a 25% surcharge will be added to the catering element, this is charged by Silverstone and will be passed to the client.

e. All prices stated are exclusive of Value Added Tax.

5. Cancellation Charges

This clause applies if the company cancels your booking under Clause 3a or if you cancel your booking at any time. Up to two calendar months before the start of the event: Full Deposit. 4-8 weeks before the start of the event: Full Deposit plus 50% of final balance. Less than four weeks before the start of the event: Full Deposit plus the final balance.

6. Final Orders, or Amendments
Reductions in numbers will not be accepted and refunds will not be paid after orders are confirmed. You are liable for full and final settlement of the total order value. Increases in numbers will be subject to availability. Prices, details and information quoted are subject to any change made by Octagon Motorsports.

7. The Event

a. The company does not accept responsibility for any changes to the event programme including without limitation the cancellation of the event or the general arrangements made by the event organisers.

b. The tickets in the hospitality packages sold are subject to the terms, conditions and limitations of liability imposed by the owners or operators of the venue for which tickets are sold.

c. The company has no control over the running of the event and all the details and descriptions in relation are for guide purposes only.

d. The company cannot be responsible or liable whatsoever, for the non-appearance of any individual, performer or participant.

e. The details of the event shown in material supplied by the company are correct at the time of printing but the customer shall be responsible for checking with the event that no alterations have been made.

f. The company shall not be liable for any loss, damage or expense caused by cancellation of the event because of government action, strike, civil commotion, national disaster or other force majeur, in no circumstances shall the company be liable for any consequential loss or damage, in any event the company's liability shall be limited to the price of the hospitality package. 

g. Any complaints must be registered in writing to the company within forteen days of the end of the event. The company cannot be liable for any complaints after that period.

h. The company give no warranties that the event shall take place in the time and place stipulated or at all.

i. Hospitality packages and tickets in them shall not be resold or transferred save as set out herein and shall not be purchased or obtained from or through any commercial agent or company or otherwise than directly from the company or an appointed agent of the company.

If more than one hospitality package or ticket is issued to a customer those hospitality packages or tickets may be used only by those persons intending to accompany that customer to and at the event. The provision of such hospitality packages and tickets by a customer to such persons without payment shall not contravene these ticket conditions.

Any hospitality packages or tickets obtained in breach of these conditions shall be void and all rights conferred or evidence by such tickets shall be nullified. Any person seeking to use a ticket in breach of these conditions in order to gain or provide entry to or remain at an event will be liable to be refused admission or to be ejected from the venue and may be liable to legal action.

j. You are responsible for the conduct and behaviour of your guests at our hospitality suite. Your guests will be required to comply with circuit regulations and any directions of circuit staff and stewards on the day. If they do not, they may be asked to leave by the meeting's organisers and the company accepts no responsibility, and gives no refund.

k. Full day guest places are non-transferable once signed in.

l. Damage or loss of fixtures and fittings as a result of your guests or staff's actions during the event day may be charged as extras.

m. Visitors who are not paid guests will only be admitted at our discretion. We reserve the right to charge an additional guest fee regardless of the time of entry, payable as per other extras, or to ask them to leave.

n. Drinks provided by the company must be consumed at the suite and may not be taken away, only food and drink supplied by the company may be consumed on the premesis.

o. The company will notify you of any property left in the suite and send it on as instructed by post. The company accepts no responsibility for any costs incurred. If we have no instruction within 30 days we will dispose of the goods.

p. These terms and conditions take precedence over any printed on client purchase orders or letters of acceptance. No amendments to these terms and conditions are allowed save those which may be agreed to in writing by a Director of the company.

WARNING: MOTORSPORT CAN BE DANGEROUS

Despite the organisers taking all reasonable precautions, unavoidable accidents can happen. In respect of these you are present at your own risk.

NO ANIMALS ADMITTED

It is a condition of admission to the circuit and interior car parks that no animals are allowed, other than guide dogs. Any person found in breach of this condition will be deemed a trespasser and asked to leave.
